The steps below outline the setup needed to connect LeadPerfection and naturalForms.
What is LeadPerfection
LeadPerfection is a CRM built for home improvement companies, covering leads, appointments, sales and jobs. You can find out more on their website.
What Can You Do
- Start forms from a LeadPerfection appointment, with the customer's details already filled in.
- Fill out contracts and forms on a tablet, phone or computer, and collect signatures.
- Send each submitted document to the customer's file in LeadPerfection automatically, with no manual upload.
How Does It Work
Your sales rep starts the form from the appointment in LeadPerfection. naturalForms opens with the customer's details filled in. The rep completes the form, captures signatures and submits it. naturalForms then sends the completed document to LeadPerfection, which adds it to that customer's file.
Getting Started
You need a LeadPerfection account and a naturalForms account, and you need to be a naturalForms admin. The connection is set up in two places: LeadPerfection turns it on for your account, and you add LeadPerfection's webhook URL in naturalForms.
1. Ask LeadPerfection to Turn On naturalForms
Contact your LeadPerfection rep or LeadPerfection support and ask them to set up the naturalForms integration for your account. Ask them for:
- Your naturalForms webhook URL. This is the address naturalForms sends completed documents to. It's unique to your LeadPerfection account, so keep it private.
- How documents are matched to customers. LeadPerfection normally uses its customer ID, which is filled into the form when your reps start it from an appointment. Ask them to confirm the field name they use (see step 2).
- Which templates to launch from appointments. LeadPerfection opens your naturalForms templates by their template ID. You'll find each template's ID on the Templates page and in the template list on the Integrations page.
2. Set Up Your Templates for Prefill
If you haven't added your forms yet, follow Adding a Template, the Field Tools Overview and our Rule Guides.
For LeadPerfection details to fill into a form, each field's Identifier (in the field's Field Settings in the Designer) must match the field name LeadPerfection sends. LeadPerfection commonly sends these:
| LeadPerfection | naturalForms Identifier |
|---|---|
| Customer ID | custid |
| Appointment Date | apptdate |
| First Name | namefirst |
| Last Name | namelast |
| Street | street |
| City | city |
| State | state |
| Zip | zip |
| Sales Rep | salesrephic |
Field names can differ between LeadPerfection accounts (for example "firstname" instead of "namefirst"), so always use the names your LeadPerfection rep gives you.
Important: keep a custid field on every template you send to LeadPerfection. The customer ID is how LeadPerfection knows which customer file the document belongs to. It can be a read-only field.
3. Send Completed Documents to LeadPerfection
You add LeadPerfection to each template you want sent, in the template's Output Settings.
- As an admin, sign in to your naturalForms web account and open the Templates page.
- Click the Settings (gear) button next to the template, then open the Output Settings tab.
-
Choose Use custom output settings, then open the Web Apps tab.
- Click + to add a connector, and choose Use new naturalForms document with webhook.
-
Make sure Enabled is ticked, and paste the URL from LeadPerfection into Webhook URL.
- Under Field Mapping, click Auto-map all fields so the customer ID and the other form fields are sent with the document.
- Click Save.
Before your team starts, use Test the connector with document (at the bottom of the Web Apps tab) with a test document, and check it arrives in the right customer file in LeadPerfection.
Repeat these steps for each template you want sent to LeadPerfection, and for any new template you add later.
Tip: the Integrations page also lists Webhook. That entry just points you to this same place (Templates › Settings › Output Settings › Web Apps).
4. Start Using
- In LeadPerfection, open the customer's appointment and choose the naturalForms option.
- naturalForms opens with the customer's details filled in. Sign in if asked.
- Fill out the form, collect signatures and submit it.
- The completed document appears in the customer's file in LeadPerfection.
Run one test with a test customer before your team starts, and check that the document arrives in the right customer file.
Common Questions:
Can my reps start forms in naturalForms instead of LeadPerfection?
Yes, but the form won't have the LeadPerfection customer ID unless someone types it in. Without it, LeadPerfection can't match the document to the customer. Starting from the appointment in LeadPerfection is the reliable way.
We send contracts to customers to sign by email. When does LeadPerfection get the document?
Documents are sent to LeadPerfection when they're submitted. To make sure LeadPerfection receives the signed contract, have the customer sign on the device before the document is submitted.
Documents aren't showing up in LeadPerfection. What should I check?
Open the template's Output Settings › Web Apps and check the webhook connector is there, Enabled is ticked, and the Webhook URL matches the one from LeadPerfection. Also check the document has a customer ID. If all of that is right, contact LeadPerfection support to check the connection on their side. You can also submit a support ticket and we'll help.
We set this up years ago. Do we need to change it?
If your documents still reach LeadPerfection, no. If they've stopped, add the webhook again using the steps in section 3: the older "Document to Web App" connector has been retired and replaced by Use new naturalForms document with webhook.
Who do I contact for help?
LeadPerfection support for the webhook URL and anything in LeadPerfection. Our team for templates, prefill and the naturalForms side.
If you have any questions please submit a support ticket and a member of our team will assist you.
