naturalForms and JobNimbus Integration

naturalForms is a powerful tool that allows you to convert your current PDF forms into a digital form that can be easily filled out on an iPad or Android tablet.

naturalForms has been integrated with JobNimbus in a seamless way to allow you to create and pre-populate your forms from the JobNimbus app to the naturalForms app. This gives you quick and efficient data collection and shared information between the two applications. Once you finish filling out forms within the naturalForms app, the the final PDF and associated photos will automatically appear as an attachment underneath your contact in JobNimbus.

In order to start using this feature, follow the simple steps outlined below to add the JobNimbus connector to your account. Before you design your form templates in the naturalForms portal, be sure to review these instructions. You'll need to design your form templates in a specific way to allow the two systems to integrate correctly.

 

Here are the steps for connecting naturalForms into JobNimbus.

Step 1: Modify naturalForms Templates to Integrate with JobNimbus

Your naturalForms templates need to have a few fields defined in a standard way.

Complete the following steps for a each naturalForms template you want to use with JobNimbus, then once you've verified that the final PDF ends up in JobNimbus the way you want it, you can finish modifying the rest of your templates.

 Step 1a: Tag the Template with a Hidden JobNimbusId Field

When you initiate a form from JobNimbus, the form needs to be "tagged" with the contact id so that when you complete the form in naturalForms and send it back to JobNimbus, JobNimbus will know where to put it.

  1. From the naturalForms web portal, click on "Templates" from the left menu, then click on a template and from the "Designer" drop-down, select "Edit".
  2. Drag a new "Text" field into your template
    1. Set the field Identifier to JobNimbusId (without spaces)
    2. From the top toolbar, change the font color to 'white', and from the right sidebar, check the 'Is Read-Only' checkbox. This will effectively "hide" the field so your users won't see it.
    3. Click "Save Template"

Step 1b: Standardize the Naming of the Template Fields

When you initiate a form from JobNimbus, JobNimbus will "push" certain contact fields into the form, allowing some of the fields to be pre-populate without you needing to manually fill in the fields. The following fields are available for you to use in your templates. If you plan to use these fields, be sure to set the field "Identifier" exactly as it is listed below.

  • FirstName
  • LastName
  • Company
  • AddressLine1
  • AddressLine2
  • City
  • State
  • StateCode (2-letter US state code)
  • PostalCode
  • Country
  • Email
  • HomePhone
  • MobilePhone
  • WorkPhone
  • FaxNumber
  • SalesRep (First and last name of sales rep)

 

If you've created custom fields in JobNimbus, these will also be available to use in your naturalForms templates. For example, if you have a custom field named "Insurance Company" in JobNimbus, then the field name in naturalForms will be InsuranceCompany with the space removed.

Whenever you make changes to a template in the naturalForms web portal, be sure to double check that:

  1. You have assigned the template to the appropriate users within naturalForms. You can do this by editing the template and looking at the "Assigned Users" tab.
  2. You have performed a "sync" from the naturalForms mobile app

 Once you've finished, save and close the template, then move on to the next step.

 

Step 2: Enable naturalForms and Add Templates in JobNimbus

Next, you need to enable the naturalForms feature and tell JobNimbus which naturalForms templates should be available from the JobNimbus mobile app.

  1. From your JobNimbus web app, go to your "Account Settings"
  2. Click on the "Features" tab and enable the naturalForms feature
  3. Click on the "naturalForms" tab and add each of your templates by clicking the "Add Document" button
    1. Set the Document Name to be the name of the form
    2. Set the Document ID to be the id of the naturalForms template - you can find this id in the naturalForms web portal by clicking on the "Templates" tab on the left and looking in the "ID" column next to the form that you're working on.

Whenever you make changes to this list of templates in JobNimbus, you'll need to log out and log back in on your JobNimbus mobile app.

 

Step 3: Setup the JobNimbus Wep App in Output Settings

Every template has output settings which tell the application were to send the form data. Follow these steps to set the JobNimbus connector:

  1. Navigate to Templates in the naturalForms web portal.
  2. Open the "Settings" for the specific template.jobnimbus.templates.settings.jpg
  3. In Output Settings, choose the 'Use custom custom output settings".jobnimbus.templates.webhooks.jpg
  4. Navigate to the "Web App" tab
  5. From the Connector drop-down, choose "Document to JobNimbus Attachments".jobnimbus.templates.connector.jpg
  6. Copy the Webhook URL from your JobNimbus account.JobNimbus_Webhook.jpg
  7. Paste the Webhook URL from your account in the Connector URL field.jobnimbus.templates.connector.webhookURL.jpg
  8. Ensure that the Field Mapping of the Web App connector is updated for the field setup in Step 1. If you make changes to the template in Designer after the initial connector is setup, you will need to confirm that the Field Mapping properly reflects the changes (i.e. changing a field name).
  9. Click Save.
 


Step 4: Try It Out!

At this point, you should be ready to try it out.

  1. Make sure you've synced your naturalForms mobile app
  2. Make sure you've logged out and logged back in on your JobNimbus mobile app
  3. Create a test contact from your JobNimbus mobile app. Be sure to fill in some of the optional fields so that you can verify that the forms are pre-filled in the naturalForms mobile app.
  4. While looking at the contact, click the "+" button at the top right
  5. You should see a naturalForms option - select it
  6. You should see a list of the templates you defined in step 3. Select one or more templates and click "Apply"
  7. You should now be taken to the naturalForms mobile app and you should see the form(s) that you just initiated
  8. Click into the form and you should see that it's been pre-filled with the common fields that you set up in step 2.
  9. Finish filling out the form and click the green Submit checkbox at the top of the screen.
  10. After a few minutes, you should see the final PDF show up back in JobNimbus under the "Attachments" tab.
