Managing Templates

A template is a master copy of an electronic form. Individual documents are created from templates in the naturalForms. On the Template Management page, you can import new templates for use with naturalForms, export templates, edit information for existing templates, open the Designer screen to define the template, view PDF versions of templates, create copies of templates, and view the list of templates which are already available for users.    

Template Management

The template list shows the following information:

Template ID: A unique number for the template which is automatically generated.

Name: The name of the template.

Created: The Created date refers to the date when the template was initially created.

Last Modified: The Last Modified date refers to the date and time when the template was last updated.

Locked: This column shows whether the template is locked (yes) or unlocked (no). Templates that are locked will not be accessible in naturalForms.

Import

Click the Import button to load templates. The Import function will import zip files created at either the customer level or the template level through an export. These zip files will include the data files for the template, data sources, and all data source assignments. 

Export

Exporting a template creates a zip file containing the data files for the template, data sources, and data source assignments. The exported data can then be imported into another customer account via the import functionality in the Templates and Data Sources management pages.

Select a row in the Template Management table and click the Export button.

After clicking on the Export button, a separate window will be opened with the data files included.  Save the zip file. The files will then be available if you need to import a template along with the data sources and data source assignments for another customer using the Import button in the Template Management page.

Edit

The Edit button will allow you to change the status of the template, assign users, assign data sources, and define output settings. Select the template you wish to edit and click the Edit button. Alternatively, you can double-click the row of the template to edit.

Designer

The Designer option will let you open the naturalForms Designer. This design tool lets you determine how the template and each of its fields will be set up to function within naturalForms. Template, page and field level settings will determine what data is collected and how the users interact with the templates on their tablets. There are two options for entering the Designer:

Edit: Select the template you wish to update and click on the Designer drop down and select Edit. The Designer will open so that the selected template can be updated. 

Add new: Click on the Designer drop down and select Add new. The Designer will open so that a new template can be created.

Actions

There are five different options under the Actions Menu. Select the template and then click the Actions drop down menu and select the action needed.

View PDF: PDF view of the template design

View Template Layout: PDF view displaying all sheet variables and field names

View Datasource Assignment: PDF view displaying fields in green whose data sources have been assigned and fields in red whose data sources still need to be assigned

View Style Layout: PDF view displaying sheet variables and field names in the display format that will be used (font size, color, alignment)

Duplicate Template: Creates a copy of the selected template
